SchoolDone Privacy Policy

1. What SchoolDone does

SchoolDone helps you record what each child learned, export records for your files, and receive optional local reminders at a time you choose. SchoolDone does not provide legal advice and does not guarantee acceptance of your logs by schools, districts, agencies, or courts.

Focus Mode (optional app-pausing during your log window) is not currently offered in the app. If we add it in a future release, we will update this policy and request any additional permissions separately.

2. Information we collect

• Account. When you sign in with Google or Sign in with Apple, we receive your email, display name, profile image URL, and a stable account identifier. We do not receive your Google or Apple password.
• Child profiles. Names or nicknames and avatar colors you enter for each child.
• Daily logs. Text you type or dictate, structured activity data we generate from your notes (subjects, activities, skills, summaries), and dates you save as activity reports.
• Automated formatting.When you create or update a log with new note text, we send that text to our servers and to Anthropic (Claude) to format a structured record. We store both your original narrative and the formatted result. Per Anthropic's API terms, Anthropic does not train its models on that API content by default.
• Exports. When you download PDF or text exports, we assemble files from logs already stored in your account. Export does not send your notes through new AI formatting unless you are creating or updating a log at the same time.
• Settings. Lock time, school-day schedule, homeschool philosophy choices, and reminder preferences.
• Subscriptions. If you subscribe, Google Play or the App Store processes payment; we receive subscription status through RevenueCat, not your full card number.
• Product analytics. We use PostHog to understand how SchoolDone is used (for example sign-in, onboarding steps, logging, and exports) so we can improve the app. Events are tied to your account id, not sold to third parties. You can opt out of analytics by contacting help@alleanzasystem.com.

3. Information that stays on your device

• Microphone / speech (optional).If you dictate a log, audio may be processed on-device or by your operating system's speech service according to your device settings. We store the text you save, not raw audio, unless you explicitly include it in a log field.
• Local notifications. Reminder alerts are scheduled on your device; we do not receive the content of system notifications.

4. How we use information

We use your data to operate SchoolDone: authenticate you, store logs and settings, format new notes you submit while subscribed, generate PDF or text exports from saved logs, process subscriptions, and improve reliability and security. We do not sell your personal information.

If your subscription is not active, you can still access logs already saved in your account and export them; creating new logs or sending new note text for automated formatting requires an active subscription when monetization is enabled.

5. Sharing and service providers

We share data only with service providers that help us run the app under contracts that limit their use. We may disclose information if required by law. Key providers include:

• Vercel — web hosting and API routes (including export file generation).
• Supabase — database storage for accounts, logs, and settings.
• RevenueCat — subscription status from the App Store and Google Play.
• Anthropic (Claude) — automated formatting of daily log text you submit while subscribed.
• PostHog — product analytics (events tied to your account id).
• Google and Apple — sign-in; Google Play and App Store billing.

Crash or error reports may be processed by our error-monitoring provider when enabled for a build. We do not receive your full payment card number from the app stores.

6. Retention and deletion

We keep your logs and settings while your account is active. You can delete individual logs in the app — see Delete your data. To delete your account and all associated SchoolDone data, follow the steps on our Delete account page or email help@alleanzasystem.com. We aim to complete deletion within 7 days; encrypted backups may retain residual copies for up to 30 days.

7. Children

SchoolDone is intended for parents and guardians to manage their own homeschool records. Child profile names are provided by the account holder. We do not knowingly collect contact information directly from children under 13 for their own accounts.

8. Your choices

• Turn off nightly reminders in Settings.
• Turn off Focus Mode or change blocked apps when that feature is available.
• Export saved records while signed in (including after a subscription ends).
• Opt out of PostHog analytics by contacting help@alleanzasystem.com.
• Sign out or delete your account (see above).
